1. Purpose and scope
Friam Limited delivers structured compliance training (with scored knowledge checks and completion certificates) across its EveryGuard product family, including annual training for MOT testers on MOTGuard. This policy covers all of that delivery, and is written to also govern the delivery of regulated assessments should Friam be recognised as a centre by an awarding organisation (for example Skills and Education Group Awards) — those clauses take effect from the date of any such recognition and are marked accordingly.
2. Definitions
2.1 Learner malpractice
- Impersonation — someone other than the named learner completing training or sitting a check on their behalf.
- Collusion beyond permitted collaboration — note that much of our training is open-book by design, mirroring the format of the official assessments it prepares for; using your notes, manuals and guidance documents is permitted and encouraged. What is prohibited is another person answering for you.
- Falsification — fabricating training records, tampering with evidence, or misrepresenting completion.
2.2 Centre / staff maladministration
- Inaccurate or backdated records; certificates issued without the underlying completion; failures to keep required records; missed reporting obligations to an awarding organisation or regulator.
3. Prevention by architecture
Our platform is designed so the common frauds are hard to commit and easy to detect:
- Per-person access. Learners access training through individual tokenised links tied to a named person — there are no shared logins to lend out.
- Identity verification on request or requirement. We operate production photo-ID document verification with face matching today (built for our regulated anti-money-laundering product). For assessment sittings we commit to applying it — a photo-ID check and a camera check-in at the start of the sitting — wherever the context or an awarding organisation’s rules require identity assurance.
- Append-only, hash-chained records. Entries in our statutory-log system — which MOT tester training records are written into — are cryptographically chained: each record carries a hash of its predecessor, so retrospective alteration is detectable. There is no edit function — corrections are new entries that say what they correct.
- Ratified content with provenance. On our current-generation course engine (which all MOTGuard training runs on), content is grounded line-by-line in captured primary sources and hash-pinned at sign-off, and certificates cannot issue against unratified or silently-altered content. Course lines that predate this engine are governed by editorial review rather than the mechanical gate.
- Granular scoring records. Completion is evidenced per knowledge point with timestamps, not as a single overwritable flag.
4. Reporting suspected malpractice
Anyone — learner, employer, staff member, awarding organisation, member of the public — can report suspected malpractice or maladministration to legal@everyguard.uk or in writing to the registered address below. Reports can be made anonymously. Nobody will suffer any detriment for a good-faith report, including reports about our own conduct.
5. Investigation
- Acknowledgement within 5 working days; investigation normally concluded within 20 working days (extensions communicated with reasons).
- Investigations are led by a director of Friam Limited who is independent of the matter under investigation.
- All relevant records are preserved — our append-only architecture means the contemporaneous evidence cannot be quietly rewritten, by anyone, including us.
- The person under investigation is told the substance of the allegation and given the opportunity to respond before findings are made.
6. Outcomes and sanctions
- Proven learner malpractice: the affected result is voided, any certificate withdrawn, and a re-sit under enhanced identity checks may be required. The learner’s employer is informed where the training evidences a statutory duty.
- Proven maladministration by us: correction at our cost, notification of every affected learner and employer, and root-cause fixes to the platform so the failure class is closed, not just the instance.
- [Effective upon centre recognition] Suspected or proven malpractice affecting a regulated assessment is reported to the awarding organisation promptly, in accordance with its published requirements, and we cooperate fully with its investigation and sanctions process.
7. Records
Malpractice reports, investigation files and outcomes are retained for 5 years, consistent with the record-retention discipline across our platform.
8. Responsibility
The directors of Friam Limited own this policy, and every team member is required to escalate suspicions rather than sit on them.
